Workshop Proposals

Researchers and practitioners are invited to submit proposals for workshops to be held in conjunction with the ICDE’21 conference. The purpose of the workshops is to provide a forum for exchanging opinions, presenting ideas, and discussing preliminary results in an interactive atmosphere.

Each workshop proposal should contain all pertinent information, including the following:

  • Workshop title
  • Short description of the topic and format of the workshop (150-200 word abstract)
  • Explanation of why the proposed workshop is a good match for ICDE’21
  • Names and contact information of the workshop organizer(s)
  • Special considerations regarding proceedings, if any
  • Tentative schedule including paper submission deadline, notification deadline, etc. The camera-ready deadline must be on or before March 1st.
  • Expected number of participants
  • In case of previous instances of the workshop, the historical numbers of participants
  • In case of previous instances of the workshop, the historical submission and acceptance counts
  • Preferred workshop duration (half day or full day)
  • Short statement on strategy for carrying out the workshop online for a) a subset of the participants and b) for all participants (in preparation for possible travel restrictions).

The ICDE’21 organization provides:

  • A link on the ICDE’21 site
  • Management of registration for participants
  • Setup of meeting space and related equipment
  • Coffee-breaks and workshop lunch arrangements

If the organizers of a workshop choose to charge additional fees to cover meals, etc., they must inform the General Chairs of their intent and must manage the process on their own.

The main responsibility of organizing a workshop goes to the chairperson(s) of the workshop. The workshop organization must take care of:

  • Set up and host a webpage for the workshop
  • Coordinate deadlines and acceptance notifications for workshop papers together with the ICDE’21 workshop co-chairs
  • Prepare and issue the call for papers, and manage the whole submission and review process
  • Provide input for publicity to the local organizers of ICDE’21
  • Provide a brief description of the workshop for inclusion on the ICDE’21 web page
  • Coordinate with the ICDE’21 proceedings’ officers to collect camera-ready copies of the papers, the signed copyright forms needed to prepare the final proceedings
  • Schedule workshop activities in collaboration with the ICDE’21 local organizers to adhere to a specific general timetable to facilitate catering.

Workshop organizers must also inform the Workshop Chairs of the numbers of submissions and acceptances as these numbers become available. Workshops with fewer than 15 expected registrants may be canceled at the discretion of the conference organizers. Only accepted workshops are official ICDE workshops and enjoy the support mentioned above.

The proceedings of the workshops will be published jointly with the conference proceedings. All papers should have the same format as conference research papers.
